User Management 


Overview:


In this article, we'll review system user management, user profile functions and permissions. For your convenience, please find the following resource below:  


Create & Activate New Agents & Users:

  • New Agents DO NOT get added through the Manage Users Panel.  They get added directly from Agent Roster Page.

Adding a New Agent

  • Access Manage Users Panel by adding [ /admin/users ] to end of the URL for your instance

                example:  [clientportalURL].com/admin/users

Permissions: 


System:

What they can do:

  • Everything under Accounting and Commissions permissions
  • Delete Subscriptions
  • Access to Accounting Widget
  • View Admins and Vendors in the Manage Users Panel
  •  View Data Integrations Tab
  • Delete listings

What they Can't do:

  • Assign System level permission - You will need to submit a ticket to support

Admin 

What they can do:

  • Access all to all company listings, transactions, documents, invoices and tasks in the system
  • Approve/Reject Pending Review documents
  • Impersonating agent accounts
  • Adding or editing agent accounts
  • Adding or editing transactions
  • Adding, editing, launching, or reactivating listings
  • Adding or editing marketing opportunities
  • Create invoices
  • Viewing all system insight reports except for Accounting reports
  • Administrating tasks requested by Agent users
  • Manage Links & Documents section on dashboard including adding/editing/deleting items

What they Can't do:

  • Cancel a pending transaction
  • Edit an invoice
  • Mark transaction 'Approved for Commission'
  • Access Agent Documents File in Agent Details page
  • Access and manage allowances
  • Terminate an agent
  • View the Agent's Report Tab when impersonating
  • Access Agent's Broker 360 Report

Admin + Billing & Compliance:

What they can do:

  • Everything listed under Admin Permission
  • Edit/void an Invoice
  • Cancel a transaction
  • Mark a transaction 'Approved for Commission'
  • Access to ALL Reports
  • Access Agent Documents file in agent details
  • Add a subscription
  • Manage Allowances
  • Can Terminate an Agent
  • Activate or cancel agents on a subscription

What they Can't do:

  • Access Commission Detail
  • Access any System admin tools

Admin + Agent User Management:

What they can do:

  • Everything listed under Admin Permission
  • Able to access the manager users page, but only be able edit agent and assistant accounts or create new users.

Admin + Accounting - A/P:

What they can do:

  • Everything listed under Admin Permission
  • Limits Brokerage Engine Accounting permissions for Accounts Payable
  • Reports limited to Accountant and Subledger
  • Banking menu limited to Banking and Bank Reconciliation

Admin + Accounting - A/R: 

What they can do:

  • Everything listed under Admin Permission
  • Limits Brokerage Engine Accounting permissions for Accounts Receivable
  • Reports limited to Accountant and Subledger
  • Banking menu limited to Banking and Bank Reconciliation

Admin + Accounting - Full:

What they can do:

  • Everything listed under Admin Permission
  • Full access to everything in the accounting system 

Admin + Commissions:

What they Can Do:

  • Everything listed under Admin Permission
  • Access To Commissions Detail page

What they Can't do:

  • Cancel a pending transaction from UCC
  • Edit an invoice
  • Mark transaction 'Approved for Commission'
  • Access Agent Documents File in Agent Details page
  • Access and manage allowances
  • Configuration: (note: this option is not yet available for production use.  While you may see option in manage users panel, it is not currently selectable)
  • Adding this to users permissions will grant them access to all configuration pages
  • Configuration control for: Task triggers, task projects, document checklists, marketing plans

Admin + Branch Manager:

What they can do:

  • All Functions of the admin permission but only have admin access to the listings, transactions and agents of the offices they have been given access too.

What they Can't do:

  • All the same thing Admin permissions can't do for the offices they are assigned
  • See any information within the system not associated with their assigned offices

Agent:

What they can do:

  • Access all of their own listings, transactions, documents, invoices and tasks in the system
  • Can create a pending transaction if enabled

What they Can't do:

  • See other agents listings, transactions, documents, invoices and tasks in the system
  • Access company reports
  • Close a transaction
  • Approve a document pending review

Assistant:

What they can do:

  • Anything the Agent Permission level can do as long as they have been granted access to that agent

What they Can't do:

  • Anything above the Agent permission level
  • View Agent's Report's Tab

Vendor:

What they can do:

  • Have access to the task queue where they can only see any tasks assigned to them

What they Can't do:

  • Access anything else in the system
