New Hire Packet
Overview:
In this article, we will review the New Hire Packet and how it is a streamlined onboarding tool designed to bridge the gap between hiring a new agent and officially adding them to the system. Historically, collecting paperwork and manually entering data were separate, time-consuming tasks. This feature automates that process by collecting documentation and using that data to build the agent's profile simultaneously.

What It Does
The New Hire Packet handles the pre-boarding phase of agent onboarding. Instead of manual data entry, the system uses a smart-mapping document within the packet.
- Data Mapping: One specific required document in the packet is mapped to the mandatory fields of an agent profile (e.g., name, contact info, license numbers).
- Automated Creation: Once the agent completes this document, you can generate their entire system profile with a few clicks.
- Document Organization: All other signed forms in the packet are automatically categorized and filed into the agent's digital folder upon creation.
How to Use the Feature
1. Initiating the Packet
To start the onboarding process for a person who is not yet in the system:
- Navigate to the Active Agents page.
- Click the button in the top right corner of the screen called "New Hire Packet".
- Enter the prospect's information to send the digital New Hire Packet.
2. Monitoring Progress
You can track the status of sent packets without leaving your main view:
- Go to the Dashboard.
- Locate the New Hire Widget at the bottom of the page to see who has received, opened, or completed their paperwork.
3. Completing the Onboarding
Once the agent has finished all required documents:
- Open the completed packet via the New Hire Widget.
- Use the Agent Personal Information Form document to "Create" the agent profile.
- The system will take the data directly from the form, populate the profile fields, and move all signed documents into the agent's permanent document storage.
